SymFactor · Factoring platform

# Factoring software, in one controlled flow

AI-native optimization

## AI that optimizes the flow. Rules that keep it in bounds.

Agents prepare every decision: they check documents, score payers, compute terms and match payments. Your team approves. Every step is logged, explained and kept inside the EU.

AI

### AI-native, not bolted on

Agents run inside the workflow: document checks, payer scoring, fee computation and payment matching happen before a person opens the file.

AI Act

### EU AI Act compliant

Human oversight on every credit decision, full logging and documented risk management for agents that touch money.

GDPR

### GDPR and EU hosting

Microsoft Azure in EU regions. Data minimisation by design, roles enforced server-side, no data leaves the boundary.

The problem

## The gap, not a shortage of work, is what stalls growth.

Carriers are paid 30 to 90 days after delivery, yet they pay for fuel, drivers, tolls and repairs within days. Factoring closes that gap: the carrier assigns the receivable and receives most of its value immediately.

The hard part is running that business. On spreadsheets and email it is a business whose operating cost grows in direct proportion to volume, and whose control depends on who picked up the file.

- **30–90**: days deferred payment to the carrier after delivery
- **Days**: to pay fuel, drivers, tolls and repairs
- **12+**: control steps on every single invoice

One flow, six control points

## No step can be skipped with a phone call.

SymFactor replaces the manual chain with a single controlled workflow: from carrier self-service through risk approval and funding to accruals and bank reconciliation.

01 / 06 · submits a deal, proposes a payer, uploads documents

### Self-service portal

Contracted carriers submit deals, propose payers, upload documents and track their limit and expected payouts. Identity is derived from the session.

02 / 06 · credit assessment, rating, limit in EUR, terms

### Payer risk

Credit assessment before any exposure: Pending → Approved / Rejected, with suspension and reactivation. Parent/branch hierarchies make group exposure visible.

03 / 06 · the only point that commits money; atomic

### A single point of financial commitment

Approval does everything at once, due date, fees, ledger, assignment invoice, payout and payment order, or does nothing at all.

04 / 06 · worklist per client and bank payment order

### Payments and payment orders

Worklist (Pending → To pay → Paid), grouped by client and in batches. Each batch produces a bank payment order (Excel) with a history of who generated what and when.

05 / 06 · nightly job at the agreed rate

### Extended financing

Nightly accrual of daily fees on overdue deals past the grace threshold, at the agreed rate for the scope, idempotent and with an auditable history.

06 / 06 · daily statement, allocation, closure

### Bank reconciliation

The daily statement of the collection account is processed, incoming payments are matched to payers and allocated across deals, with transactional posting.

Every limit is enforced by the system. Every exception is recorded with an author and a written reason. Every financial event enters an immutable ledger.

How we solve it

## Control before the money. Collection on its own.

### Control before the money

Every payer is credit-assessed before any exposure, with a rating, a limit in EUR, commercial terms and an originals requirement. Incomplete files cannot move forward.

- Request
- Engaged
- Submitted
- Onboarding
- Contracted
- Active

### One action commits the money

Approval is atomic: it recalculates the due date, computes commission and fees from the client's current pricing matrix, posts to the ledger, issues the assignment invoice, calculates the payout and queues the bank transfer. If any part fails, nothing is posted.

### Collection runs on its own

A nightly job accrues daily extended-financing fees after the grace period, at the agreed rate, idempotently and with a full run history. The daily bank statement is allocated across funded deals, which close automatically on full repayment.

Business impact

## Growth stops being a hiring decision.

- **Same day** funding decision: payer status, available limit, documents, computed fees and payout on one screen
- **1 operation** to pay fifty carriers: one batch payment order instead of fifty separate transfers
- **Zero** manual calculations: fees, VAT by scope, due dates, grace thresholds and accruals are computed from the agreed terms
- **No new hires** as volume grows: carriers submit on their own, and back office only reviews and approves
- **Zero** deals above limit without a recorded reason: the rule is enforced on the server, not by a paper policy
- **One ledger** for payments and for reporting: the reported numbers and the paid numbers are the same numbers

These effects follow from how the platform is built, not from forecast assumptions. The specific values for your portfolio are measured during the discovery phase and tracked as KPIs after go-live.

Functional scope

## Everything a factor runs, in one platform.

### Client onboarding

Staged lifecycle with company data, fleet, bank accounts and the mandatory KYC pack. Incomplete records never reach "Submitted".

### Deal processing

One invoice = one deal: Draft → Submitted → Approved → Funded → Closed. Submission requires a transport order and a proof of delivery.

### Automatic limit enforcement

Blocks approval above the consolidated limit: domestic, EU and non-EU deals draw from one pool. Passing it requires an explicit override with a written reason.

### Immutable ledger

Read-only posted entries, separate from a timeline of who did what. Fees are frozen as a snapshot; a later change never rewrites history.

### Analytics and reporting

Dashboards for operations, revenue, commissions, clients, payers and deals, with receivables ageing and Excel export. Each one is role-checked on the server.

### Documents

Attachments per client, payer and deal, plus template-generated PDFs (deal documents, assignment invoices), with requirements by type and quotas per client.

The cost of inaction

## Both failure modes arrive together.

Commercial and regulatory: money advanced against an unverified payer or an exhausted limit, and decisions that cannot be evidenced afterwards.

### Money against an unverified payer

An advance against an unapproved or already exhausted limit is discovered once the money is out.

### Decisions that cannot be evidenced

Without a recorded author and reason, the auditor sees a person's judgement, not a process control.

### Costs that grow with volume

Every new invoice is a new manual chain. Growth becomes a hiring decision.

### Two versions of one number

Spreadsheets and statements drift apart, and what is reported stops matching what was paid.

Controls and compliance

## Enforced on the server. Evidenced on every deal.

- Microsoft Azure · EU
- GDPR
- EU AI Act

Server-side

### Guardrails that cannot be bypassed

No funded deal against an unapproved payer and no payout above the consolidated limit. Enforced on the server.

Audit

### Every exception is evidenced

A limit override requires a written reason and stays on the deal; approval without originals requires explicit confirmation.

Append-only

### Immutable financial history

Ledger entries and fee snapshots are append-only. Records are archived logically, never destroyed.

KYC / AML

### KYC/AML completeness by design

Contract, partnership letters, director's ID, commercial register extract, bank certificate, and declarations for beneficial owner, PEP, source of funds and GDPR.

7 roles

### Segregation of duties

Seven roles separate sales, back office, risk and administration. The risk officer is strictly read-only on deals.

GDPR

### Privacy by design

External users are confined to the portal and their identity is derived from the session; access to another party's data is structurally impossible.

Questions and answers

## What factoring companies ask first.

### What is SymFactor?

SymFactor is AI-native factoring software for factoring companies. It runs the whole flow in one controlled workflow: client onboarding, payer risk and limits, funding approval, batch payments, overdue accruals and bank reconciliation.

### Who is it for?

Factoring companies and banks that finance transport receivables. Back office, risk, sales and administration work in the platform with separate roles, and contracted carriers submit deals through a self-service portal.

### What do the AI agents do, and what do people decide?

Agents prepare each decision: the document agent verifies the transport order and proof of delivery, the risk agent checks the payer and the available limit, the pricing agent computes fees and the reconciliation agent matches payments. Your team approves, and every override is recorded with an author and a written reason.

### How are payer limits enforced?

On the server. Domestic, EU and non-EU deals draw from one consolidated limit, and approval above it is blocked. Passing it requires an explicit override with an author and a written reason, which stays on the deal.

### Where is the data hosted?

On Microsoft Azure in EU regions. Roles are enforced on the server, external users are confined to the portal, and data does not leave the EU boundary.

### Is SymFactor compliant with the EU AI Act and GDPR?

It is built for both: human oversight on every credit decision, full logging and documented risk management for agents that touch money, data minimisation by design and a KYC/AML document pack that must be complete before a client goes live.

### Which languages does the platform support?

Bulgarian and English.

### How does a rollout start?

In three steps: a demo, a pilot on your live deals, then full rollout. The effects on your portfolio are measured during discovery and tracked as KPIs after go-live.

### How is SymFactor priced?

Pricing is agreed per client, based on your portfolio and the scope you need. Ask for a quote through the form below or at [hello@symfactor.com](mailto:hello@symfactor.com).

### Is SymFactor tied to one AI vendor?

No. SymFactor is an independent AI integrator: vendor-neutral and full stack, built for regulated industries in the EU.
